This privacy declaration of Department of Economy, Science and Innovation (hereafter: the Department) describes the way we collect, use and thereafter may share your personal data. Your personal data will be treated in accordance with the policy below. 

Confidential processing of personal data 

  

The Department recognizes the importance of data protection and privacy of personal data of its customers and website visitors. For this reason, it will treat the personal data of the parties concerned with due diligence. This explicitly confirms that all personal data will be processed in accordance with Regulation (EU) 2016/679 of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (General Data Protection Regulation, abbreviated as GDPR), as far as possible and desirable. 

 

The personal data which you have provided to the Department of Economy, Science and Innovation, are stored in a secured environment which is not accessible to the public. The Department of Economy, Science and Innovation, based in the Ellips building at Koning Albert II-laan 35, bus 10, 1030 Brussels, is in charge of processing this data. 

 

The Department recognises that the protection of personal data is an essential element of GDPR compliance. If it is impossible to fully guarantee security, the Department will take appropriate technical and organisational measures to protect personal data. 

 

Personal data we are processing and the purpose 

We process the following personal data:  

  • Your name and mail address to be able to contact you when you registered for our event; 

  • During the event, we will take atmospheric event picture and videos to be used in a newsletter article, article on our website, an after movie,…; 

  • Your diet preferences to take into account during our event; 

  • Your mobility so that we can help you to access our event; 

Legal ground for processing your personal data 

We need your consent for the aforementioned processing purposes. 

Storage limitation of your personal data 

Your personal data will be kept until the end of the Belgian presidency (June 2024). Only pictures and videos made at the event, will be kept for 2 years. 

Third parties 

We make use of a third party to host and manage our website, to take care of the registration process and to do the communication towards you, as a participant of our event. For this, the third party will process your personal data.  

What are your rights? 

You have the possibility to exercise the rights described in the GDPR at all times. 

Right to information 

You have the right to access all collected personal data (including processing purposes, categories of personal data, certain retention period). 

Right to rectification 

You have the right to have inaccurate or incomplete personal data rectified or completed. 

Right to erasure ("Right to be forgotten") 

If you want your personal data to be erased, you can contact the Department of Economy, Science and Innovation at dpo.ewi@vlaanderen.be with the simple request to erase your personal data. 

Right to object 

If you no longer wish to be informed of any possible updates/news releases/events, you are entitled to object by sending an e-mail to dpo.ewi@vlaanderen.be. Please note that the right to object does not apply in full if this personal data is necessary for the implementation of an agreement between the Department of Economy, Science and Innovation and you/your organisation. 

Right to restriction of processing 

In certain cases, you are entitled to restrict the processing of your personal data.

Right to data portability 

You have the right to receive the personal data you communicated to the Department of Economy, Science and Innovation in a structured, commonly used legible form and/or to transmit these data to another controller. 

Right to lodge a complaint  

If at any time you believe that the Department of Economy, Science and Innovation is infringing your privacy, you have the right to lodge a complaint to the competent data protection authority.
